About our privacy policy

LinProfs B.V. cares about your privacy. We therefore only process data that we need for (the improvement of) our services and will carefully handle the information that we have collected about you and your use of our services. We never make your data available to third parties for commercial purposes.

This privacy policy applies under the European legal framework (General Data Protection Regulation (GDPR), which is Regulation (EU) 2016/679 of the Parliament and of the Council of 27 April 2016, on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC, the Organic Law 3/2018 on the Protection of Personal Data and Guarantee of Digital Rights, adopted on 5 December 2018 (LOPDyGDD) to the use of the website and to the services of LinProfs B. V. provided therein. With the publication of a new version, the validity of all previous versions expires. This privacy policy describes what data we collect about you, what we use it for and with whom and under what conditions we may share it with third parties. We also explain how we store your data, how we protect it against misuse and what rights you have with regard to the personal data you have provided to us.

Purpose of data processing

General purpose of processing

We use your data exclusively for the purpose of providing our services. This means that the purpose of the processing is always directly related to the assignment you have given. If you share information with us and we use this information - other than at your request - to contact you at a later date, we will ask you for your explicit permission. Your details will not be shared with third parties other than to meet accounting and other administrative obligations. These third parties are all bound to secrecy by agreement between them and us or by an oath or legal obligation.

Automatically collected data

Data that is automatically collected by our website is processed with the aim of further improving our services. These are metadata such as your IP address, web browser version and operating system.

Cooperation in fiscal and criminal investigations

As the occasion arises, LinProfs B.V. may be required by law to share your data in connection with governmental fiscal or criminal investigations. In such a case we are obliged to share your data.

Storage periods

We will retain your data for as long as you are a customer of ours. This means that we will keep your customer profile until you indicate that you no longer wish to use our services. If you indicate this to us, we will also consider this to be a request for forgetting. Pursuant to applicable administrative obligations, we are required to retain invoices containing your (personal) data; we will therefore retain this data for as long as the applicable term lasts. However, employees no longer have access to your customer profile and documents that we have produced as a result of your instructions.

Your rights

Under the applicable Dutch and European legislation, you as a data subject have certain rights with regard to the personal data processed by us or on our behalf. Please find below an explanation of your rights and how you can exercise them.

To prevent misuse, we will generally only send copies and transcriptions of your data to your existing e-mail address. You can make a request to this effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation at the e-mail address you provided that the data will no longer be processed until you lift the restriction.

Right of transferability

You always have the right to have the data we process, which relate to your person or can be traced back to you, carried out by another party. You can make a request to this effect to our contact person for privacy matters. You will receive a response to your request within 30 days. Web hosting and server management

TransIP

We purchase web hosting and e-mail services from TransIP. TransIP processes personal data on our behalf and does not use your data for its own purposes. However, this party may collect metadata on the use of the services. This is not personal data. TransIP has taken appropriate technical and organisational measures to prevent the loss and unauthorised use of your personal data. Under the agreement, TransIP is bound to secrecy.

Amazon AWS

We purchase web hosting and e-mail services from Amazon AWS. Amazon AWS processes personal data on our behalf and does not use your data for its own purposes. However, this party may collect metadata about the use of the services. This is not personal data. Amazon AWS has taken appropriate technical and organisational measures to prevent the loss and unauthorised use of your personal data. Amazon AWS is obliged to maintain confidentiality on the basis of the agreement.

Services purchased by LinProfs B.V. from Amazon AWS are located within the EU. (Frankfurt, Germany)

Infrastructure

KPN

LinProfs purchases infrastructure from KPN in the form of an internet connection. As such, technical staff of KPN have access to data sent over this line. However, we ensure that this data is sent securely by means of encryption. We secure our web pages with SSL (HTTPS) encryption. KPN will never use our data for its own purposes.

Technical Support

LinProfs provides technical support and Managed Services in the areas of infrastructure, network, VoIP telephony, internet and office automation. For support in the area of technical infrastructure we mostly use Open Source technology, such as Red Hat and AWS, but also Office365. The technical staff at LinProfs have access to your personal data as they exist within our infrastructure. LinProfs is bound by contract to secrecy and will not use this data for its own purposes.

Exact Software

For support in the area of technical infrastructure we make use of the services of Exact Software. Technical staff of Exact Software have access to your personal data as they exist within our infrastructure. However, Exact Software is bound to secrecy and will not use these data for their own purposes.

Social Media

We send our e-mail newsletters through MailChimp. MailChimp will never use your name and email address for its own purposes. At the bottom of every email sent automatically through our website you will see the 'unsubscribe' link. You will then no longer receive our newsletter. Your personal data are stored securely by MailChimp. It concerns the following necessary data:

  • Name and surname

We will ask you for your permission to store and process all these data.

MailChimp uses cookies and other Internet technologies that provide insight into whether emails are opened and read. MailChimp reserves the right to use your data to further improve the service and as part of this to share information with third parties.

Office365

For business e-mail traffic, we use the services of Office365 from Microsoft. This party has taken appropriate technical and organisational measures to prevent misuse, loss and corruption of your and our data as much as possible.

Analysis

Google Analytics

We use Google Analytics to analyse the use of our website. This software records the following metadata:

  • IP address
  • Browser version
  • Operating system
  • Website usage

This data is kept for a maximum of 14 months for trend analysis purposes.

Shipping and logistics

Parcel services

When you place an order with us, it is our job to deliver your package to you. We use the services of the usual parcel services, such as Post NL or DHL, depending on where the product is ordered from. For the execution of the deliveries. It is therefore necessary for us to share the following personal data:
